Holiday Activity & Food Coordinator

We are seeking a part-time HAF Coordinator, who will play a crucial role in ensuring the smooth operation of our HAF programme and the coordination between management and support staff.

We are looking for a resourceful individual who possesses excellent communication, administration and organisational skills.

The successful candidate will work autonomously, be responsible for maintaining effective workflows for each project, whilst motivating colleagues to meet deadlines and targets.

With the support of a HAF Coordinator, we aim to effectively achieve the following outcomes for children and young people:

  • Eat more healthily during the school holidays
  • Be more active during the school holidays
  • Participate in enriching activities
  • Stay safe during the school holidays
  • Increase knowledge of health and nutrition
  • Be more engaged with schools and services

We are looking for a charismatic, flexible and friendly team-player who is an inspiring leader with excellent management skills and a natural with young people. The role requires a multi-skilled individual who wholeheartedly believes in the work the charity undertakes and passionately wants to make a difference.

  • You can manage a diverse workload and workforce in a fast-paced environment and deliver tasks against agreed timescales. Flexibility in your approach to working hours is essential.

Your main responsibilities will include:

Managing and executing the administrative support for the Holiday Activities and Food (HAF) Clubs running during school holidays to include:

  • Coordinating the session requirements at each HAF site
  • Creating graphics to promote the HAF events and activities
  • Creating Social Media post to promote the HAF events and activities
  • Executing the communications plan to members and parents
  • Creating registers for Service Delivery Team
  • Monitoring attendance
  • Capturing attendance on the corporate Upshot system
  • Liaising with other internal departments to ensure the smooth execution of the HAF sessions e.g. Catering, Facilities Management
  • Liaising with Blackpool City Council regarding HAF reporting and invoicing
  • Liaising with HAF sites e.g. SLAs
  • Providing statistics to Head of Child Services
  • Assisting with recruitment of HAF sessional staff
  • Dealing with incoming calls, messages, emails in relation to HAF sessions
  • Building and maintaining effective relationships with staff, volunteers, parents and young people
Skills & Experience
  • An excellent understanding of Microsoft Office tools & Google suite, especially Excel and Google Sheets. ESSENTIAL
  • Ability to use PCs, Mac & Smart Mobile Devices. ESSENTIAL
  • Ability to quickly comprehend new software systems and apps. ESSENTIAL
  • Excellent attention to detail with the ability to quickly and accurately record data on online systems. ESSENTIAL
  • Ability to create basic infographics and produce smart, BHY branded documents. ESSENTIAL
  • Ability to write effective emails, letters and other documents using excellent grammar and spelling. ESSENTIAL
  • Ability to work in a changing environment, delivering tasks against agreed timescales. ESSENTIAL
  • Flexible in approach to working hours. ESSENTIAL
  • Ability to use own initiative and identify process improvements. ESSENTIAL
  • Full UK Driving Licence. ESSENTIAL
  • Experience of working in the charity or education sector. DESIRABLE
